Downloading OCLC Records for Commercial Gift CDs Going into Backlog
Written by David Procházka
DRAFT: July 29, 2005
Preliminary Steps
- Shmoosh CDs in the existing backlog together.
- Move one shelf of LPs to new storage area.
- Get and install additional shelf where LPs were removed.
- Make sheets of round, orange labels with successive CD numbers; begin with 4001.
- Create macro in CNXN client.
- Load CNXN onto Karyns LapTop
Procedure
- Remove shrink wrap.
- Search the recording in our catalog. If we already own a copy, and if the gift slip does not indicate that it should be added as a dupe, give CD to Performing Arts Bibliographer.
- For all other materials, find and select best record in OCLC. It must be for the same format (e.g. CD vs. tape), and at least one of the numbers on the CD must appear in the OCLC record.
- If you do not find a usable record in OCLC, give CD to music cataloger.
- Apply constant data record (<CTRL>-n and select from list)
- Apply orange call number sticker to front of notes, in the lower left cornerdo not cover up important information
- Complete CD number in 099 field; numbers for this project will have the format:
- Compact|aDisc|aCD5001|aUNCAT
- If recording has CDs in multiple containers, consult with music cataloger about creation of items.
- Apply barcode to front of notes. Ideal place is upper left corner, but do not cover up important text or image.
- Complete item information in 2nd 949 field by adding barcode(s).
- Export the record into our local system.
- Call up new record in our local system.
- In each item record, whenever the CD is accompanied by separate notes, add the value "p" to the IMESSAGE field.
- Fold gift slip and insert it between jewel case and notes. (Do not let it touch surface of CD; there might be some transfer of printing substances).
- Shelve in CD backlog.
