Resources for Map Cataloging

Step-by-Step

  1. 007 Physical Description Fixed Field http://www.oclc.org/bibformats/en/0xx/007map.shtm
  2. 050/090 Classification Number
Maps are generally classified in the Library of Congress Classification range G [Geography]. These numbers differ from our normal method of LC classification numbers in that the year is placed before the last cutter. Example:
    • 050 G4801.E635 1999 ‡b H435
This allows all of the maps of a certain location to be shelved together, in chronilogical order. The additional information added by the second cutter number is less critical than the date for geographical materials.
  3. 086 Government Document Number http://www.oclc.org/bibformats/en/0xx/086.shtm
If a map record includes a SUDOC number, do not delete it from the record. The LC classification number will take precedence.
  4. 034 Coded Cartographic Mathematical Data http://www.oclc.org/bibformats/en/0xx/034.shtm
This number corresponds to the scale ratio number described in the 255 field.
  5. 049 Local Holdings code: The code for the Map Room Collection is AKRM.
  6. 1xx Main Entry -- Usually recorded as a personal or corporate author
  7. 245 Title/Statement of Responsibility -- Based on LC/OCLC practice, DO NOT ADD ‡h [map]
  8. 255 Cartographic Mathematical Data (Map scale) http://www.oclc.org/bibformats/en/2xx/255.shtm
  9. 260 Publisher/Distributor information
  10. 300 Physical Description: Subfield a:
    • For maps, use subfield ‡a for the number of physical units.

Enter the appropriate specific material designation (SMD) preceded by the number of physical units in arabic numerals. See AACR2 rev. 1998, rule 3.5B1, for a list of SMDs. Do not repeat subfield ‡a. Enter multiple number sequences in the same subfield ‡a.

      300 1 atlas (269 p.)
      300 1 globe
      300 14 maps on 5 sheets
      300 ca. 1,000 maps
For multipart items that are not yet complete, enter the appropriate SMD.

      300 maps
  11. 300 Physical Description: Subfield b:
    • For maps, use subfield ‡b for the number of maps in an atlas, color characteristics, composition of material and mounting.

Do not repeat subfield ‡b. Enter multiple physical detail statements in the same subfield ‡b.

      300 1 globe : ‡b col., wood, mounted on brass stand ; ‡c 7 cm. in diam.
      300 1 map : ‡b col.
      300 1 map : ‡b col., mounted on silk
      300 3 maps : ‡b 2 col., plastic
      300 120 maps : ‡b some col.
  12. 300 Physical Description: Subfield c:
    • Maps are measured by height by width and are measured in centimeters.

For maps, use subfield ‡c for the size (e.g., height; height, width and depth or diameter) of the item. Do not repeat subfield ‡c. Enter multiple size statements in the same subfield ‡c.

Enter a space on each side of the multiplication sign (x) that separates height and width.

      300 1 map : ‡b both sides ; ‡c 34 x 72 cm. on sheet 46 x 43 cm.
      300 1 map : ‡b both sides, col., rayon ; ‡c 69 x 53 cm. on sheet 48 x 57 cm.
      300 1 map : ‡b col. ; ‡c 24 x 21 cm.
      300 1 map : ‡b col. ; ‡c 46 cm. in diam.
      300 1 map ; ‡b col. ; ‡c 200 x 354 cm., folded to 20 x 15 cm., in plastic case 24 x 20 cm.
      300 1 map ; ‡c 19 x 24 cm. on sheet 48 x 60 cm.
      300 1 relief model : ‡b col., wood ; ‡c 34 x 26 x 3 cm.
      300 74 maps ; ‡c 21 x 55 cm. and 48 x 76 cm.
  13. 300 Physical Description: Subfield e:
    • For maps, use subfield ‡e for the type of accompanying material. Enter the physical description of the accompanying material in parentheses.

Do not repeat subfield ‡e. Enter multiple accompanying material statements in the same subfield ‡e.

      300 1 map : ‡b col. ; ‡c 70 x 59 cm., folded to 12 x 16 cm. + ‡e 1 v. (119 p. ; 24 cm.)
  14. 590 Local Holdings Notes -- Add local notes as appropriate.
  15. 650/651 Subject Headings: In the 65x subject fields, the final element of this field is included in subfield v, such as 651 0 Ohio ‡v Maps.
  16. Add the appropriate 949 fields.
  17. After transferring the record from OCLC to INNOPAC, verify that the record and item(s) transferred properly.
  18. After the map has been cataloged, the call number and OCLC number are written in pencil on the back and a barcode is applied as well.
  19. After cataloging and barcoding the maps, the maps are sent to Pete Linberger in the Collection Management Department, who changes the call number to a shelf drawer location.
