Physical Processing for Archival Services and Archival Music Collections

General Procedures
- Cataloging
- Assign a barcode to item as normal, but do not affix to cover.
- Write callno. and OCLC no. in item using a no. 1 pencil; any erasures should be made with an non-abrasive Magic Rub eraser
- Staple barcode to any paperwork accompanying the item or a slip of scrap paper.
- If the item is a Faculty Publication or part of a gift collection, start a Rare Book Flag by writing the name of the collection in the upper right hand corner of the strip. Leave enough room for the spine label on the left hand corner. (See Rare Book Flag instructions [PDF])
- Place item on Archival Processing shelf in Cataloging.
- Special Processing--Bierce
- Print label set, compare labels to pieces in hand and bibliographic record on screen. If something doesn’t match, consult cataloger.
- Put labels and barcodes on Rare Book ID strip as described in Rare Book Flag instructions [PDF].
- Archival Services material: Place directly in Polsky’s blue bin.
- Music material for Collection Management: Some music materials are stored in collection management. Give to Performing Arts Bibliographer.
- Special Cases
- Items Transferred to Archival Services from Stacks
- Leave original label and barcode affixed to the book. Do not assign a new barcode.
- Print out a new set of labels and place on Rare Book ID strip as instructed.
- If the call number was changed from what is on the label affixed to the book:
- Cataloging: In no. 1 pencil, gently cross out old callno. written inside book (and on the inside label if applicable) and write in new callno.
- Special Processing:
- Print out a 2nd set of labels.
- Cover up old spine label with new spine label; discard large label.
- Items Transferred to Archival Services from Stacks
- Archival Print Copies of Theses/Dissertations
Bound print copies of Theses/Dissertations are an exception to the no labels directly attached rule. Please apply the labels as you would for a normal circulating book. (The barcode should already be attached to the item.) Theses are not tattle taped or property stamped.
